TRAVEL POLICY
PAYMENT POLICIES.
All passengers must have all services paid to be attended in Panama.
For FIT or individuals from 1- 9 persons, we require a full payment 10 days before the arrival.
For GROUPS reservations, we request 40% payment of all services included in the itinerary 48 hours after you receive the confirmation, and the other 60% must be paid 30 days before arrival. (Policies apply for suppliers and seasons). We need to sign an agreement with the hotel, that’s apply this kind of policies payment.
CANCELLATION POLICIES
FOR GROUPS:
There would be NO reimbursement in case of cancellation less than 45 days before the service. If cancellations are made in advance, TOURISM GUIDE SERVICES would reimburse depending on the policies of the suppliers.
Reservations may be canceled, without penalty, 45 days before the arrival date.
Cancellations within 30 days of the arrival date will have a 50% penalty on the entire stay.
Cancellations within 15 days of the arrival date will have a penalty of 100% of the reservations.
FOR FIT
There would be NO reimbursement in case of cancellation less than 15 days before the service. If cancellations are made in advance, TOURISM GUIDE SERVICES would reimburse depending on the policies of the suppliers. Apply for FIT.
Reservations may be canceled, without penalty, 15 days before the arrival date.
Cancellations within 10 days of the arrival date will have a 50% penalty on the entire stay.
Cancellations within 5 days of the arrival date will have a penalty of 30% of the reservations.
Cancellations within 3 days of the arrival date will have a penalty of 100% of the reservations.
In case of a medical emergency, we will charge 50% of the total package, and TOURISM GUIDE SERVICES will request an original medical certification.
HOTEL PENALTY
Cancellation Notice Received Before Each Date of the Program Penalty
Once the contract is signed up to 180 days before the group’s arrival Security Deposit
From 179 days to 120 days before the group’s arrival 40% of the total revenue from rooms and contracted banquets
From 119 days to 90 days before the group’s arrival 60% of the total revenue from rooms and contracted banquets
From 89 days to 31 days before the group’s arrival 80% of the total revenue from rooms and contracted banquets
Less than 30 days before the group’s arrival 100% of the total revenue from rooms and contracted banquets.
FINAL GROUP NUMBERS
Final group numbers must be confirmed 30 days prior to your tour departure date. At this time, we will also require a full rooming list that outlines full guest names. If the number of guests booked onto the tour at this time is different from the initially quoted numbers, we reserve the right to adjust your tour price accordingly. We appreciate regular updates on your group numbers and rooming requirements.
MANDATORY PREPAYMENTS
Due to the high demand for rooms and flights in different seasons, some hotels and airlines would request a mandatory payment to guarantee the rooms. Although our executives at the sales department will inform on each itinerary confirm these policies, including date limit and rooming list.
If these payments are not received on the time request, TOURISM GUIDE SERVICES would not be responsible for any automatic cancellation of services. The policy depends on any of our suppliers involved.
Responsibilities
TOURISM GUIDE SERVICES makes known that it is only an intermediary between the passenger and the companies that provide the services in the itineraries, such as hotels, transportation companies, restaurants, and local airlines.
Every experience comes with personal accident insurance and liability insurance, ensuring that Tourism Guide Services is equipped to handle any emergencies during our operations. To secure your accident insurance, please provide your complete name, date of birth, and passport number. Additionally, you must sign a liability waiver to participate in our experiences. Kindly provide the required information and sign the waiver to ensure your safety and coverage during our tours.
TOURISM GUIDE SERVICES will not assume additional expenses due to strikes, earthquakes, weather conditions, accidents, the condition of the highways and roads, or forces beyond our control, and reserve the right to change or cancel any tour or service without previous notice, or to use the services of other affiliated companies if necessary.
All the providers are selected carefully and fulfill the requirements to provide the services, having established records for being a consolidated and efficient business.
Luggage
The standard size of luggage and one carry-on per person is included in all our quotes. Extra luggage, surfboards, bicycles, and similar will be charged directly to the client for separate and private transportation.
